The missing ingredient is usually structure

The work is finished but the report requires an afternoon of renaming files and asking what they show. Often the photographs were available all along; their relationship to the job was missing. Organising by project and stage during the work reduces that later reconstruction. It does not remove the need for an informed person to review the final document.

Think about the reader first

A useful report lets someone unfamiliar with the site understand the location, sequence and unresolved points. Prefer a clear overview and a small set of explanatory details to a large unexplained gallery. Check captions and the project address. Do not include unrelated personal information simply because it happens to appear in a photograph or an internal note.

Separate a draft from an issued version

The current product offers a draft preview using selected photographs and optional title or introductory note. A preview does not create an issued version. Issuing stores a numbered PDF whose bytes remain unchanged. Later edits belong in another reviewed version. A successful preview does not guarantee that the stored-PDF quota or ten-version allowance permits issuance.

Perform a final check before sharing

Review project identity, legibility, selected pictures, checklist state and all tasks. Photo selection does not exclude project checklists or tasks from the report. A source inventory binds included photo information to the issued PDF, but it is not a signature or an independent truth certificate. Decide deliberately which information the intended recipient needs and how your business will share it.

Treat the report as a continuing result

Try creating a draft early in an invented project. Notice unclear descriptions while they can still be improved. Preserve the original camera files until uploads are confirmed. Reports document the recorded state; they do not replace contractual acceptance, professional inspection or qualified signatures. Production infrastructure, physical-device testing and legal approval remain separate unfinished gates.
