Long lists become a second job

A checklist with every imaginable detail is easy to ignore when work is busy. Start with the few observations that matter at a particular stage. The aim is to make a useful question visible at the right moment, not to describe the entire trade in an application. A short list people understand is more useful than an impressive unused template.

Make each item unambiguous

Write one observable check per item. “Connections photographed before lining” is easier to understand than “everything checked”. Decide what evidence a person should review before marking an item complete. Avoid language that implies the software independently inspected the work. A checked box is a recorded application state; the business remains responsible for the meaning and adequacy of its procedure.

Begin with a small reusable template

The current product supports project stages, checklist items and reusable trade templates. Adapt an initial template to one typical job rather than copying an entire unrelated project. Check that the stage names match the actual sequence. Existing technical limits include twenty stages and thirty checklist items per stage; those are application bounds, not a recommended checklist length.

Leave unresolved points visible

Do not mark a step complete simply to make a list look tidy. If a question needs another action, create a task explaining the next step and responsibility. Distinguish the checklist reminder from the task itself. Avoid burying a missing connection or pending decision in an unrelated image caption that nobody is expected to revisit.

Measure usefulness through fewer questions

Try the template with invented data and ask someone else to follow the record. Which item is unclear? Which detail is repeated without value? Revise those items rather than expanding the list automatically. Checklists do not determine legal compliance, contractual acceptance or professional workmanship. Those judgments require the appropriate facts, procedures and expertise outside the application.
