The question rarely arrives on the day
Months after a job, someone asks where a pipe ran behind the lining. A filename from a camera says little to a person who was not there. A useful record needs readable project, area and stage context. The right photograph in a neighbouring job can look convincing but still describe the wrong place, so verify the full project identity.
Name what people will later ask about
Use understandable room and component descriptions in captions. Agree a short set of terms between site and office, and spell out unusual abbreviations. Do not add lists of arbitrary keywords to every image. Collect information that explains the work rather than incidental private details about the customer, occupants or their belongings.
Narrow the search instead of reading everything
Fotonachwerk searches project names and addresses plus photo filenames and notes. Photo upload dates and stage can narrow photograph results. Project and photo results have independent pages of up to fifty records, with a traversal ceiling of offset 10,000. Date filters concern UTC server upload dates, not capture time. This is text search, not visual AI recognition.
Include a search exercise in your review
Ask someone who did not take all the pictures to find a particular recorded condition. Give them the question a later reader would actually ask. If they must phone the original photographer, improve that missing context. Search pages may shift when records or permissions change; an absent visible result does not prove that an image never existed.
Consider retention as well as retrieval
The product enforces tenant and explicit project access on fresh search requests. Finding a record does not override the business’s retention or sharing rules. Project trash, holds and export support parts of that lifecycle; no universally appropriate retention period is automatically chosen. Test whether exported originals and metadata remain understandable in your separate business filing system as well.
